Floorsense / Smartalock Release Notes

feature: Mobile App v9.0

The floorsense mobile app has just received an UX overhaul to make it easier to navigate and generally look more modern.

Version 9.0.1 is now generally available on the Apple iOS Store. Version 9.0 for Android will be released at the end of May.

The Today Screen has been enhanced with simpler icons and clear cards to show all of your desk, locker and room bookings for the day, along with any team mates or people you are following and their day bookings.

The map view has been enhanced to make finding a workspace based on filters easier, and adds a recent bookings quickbooks button to rebook any of the last 5 workspaces with the minimal number of taps.

Based on customer feedback we have also updated the default setting for certain features. These are still available via the settings screen - changes include to disable auto-checkin, removed background notifications for bluetooth, and shake-to-unlock is disabled by default.

Users will need to book a desk on their preferred floorplan to reinstate their default building and floorplan after updating.

feature: Advanced Analytics

Our Advanced Analytics platform is now available for all customers on direct extended support contracts or large customers within initial 2 year warranty period. This platform extends the current analytics available for both desk and locker systems to provide greater at-a-glance insights into the use of workspaces and storage.

Advanced Analytics is available via the Analytics dropdown in the Admin portal

There are summary pages as well as detailed drill downs for each class of object such as desks, lockers and meeting rooms

Some easily viewed insights include

- Floorsense Mobility Score - a value between 1 and 5 to indicate the number of different desks users are choosing per 5 day working week. For example a mobility score of  "2.1" means on average, the users are booking and sitting at a little over 2 different desks when they come into the office. This mobility score is a rough proxy for Agile working and collaboration. The higher the score, the more users are moving and working in different parts of the office.

- Busy days of week by user group - shows in a single graph which groups of users are coming into the office on which days. Often companies will have much busier Tue-Wed-Thurs occupancy and reservation rates, but then being able to drill down further by neighbourhood or user group can help align teams and spread out the days in office

- Adhoc vs Advance booking rate - to show if more users are planning their week and booking in advance, or just turning up and finding a space on demand

- No Show / Cancel rate - shows what percentage of booked desks are not checked into or are cancelled - No-Shows and late cancels prevent other users from booking the space in time for the working day.

For customers interested in enabling these Analytics please contact your reseller for further details.

feature: Team booking, Favourites and UI Update

The V7.0 of the floorsense mobile app coincides with an update to the my.floorsense.com.au end user web portal to enable 3 new features:

- Ability to "star" friends and co-workers via user search, and show their desk bookings on the today and desks page

- Week view in the desks page to quickly identify your and your teammates / friends days in the office vs at home

- Team leader block-booking function with team member notification+claim. A new class of end user called team leader can block book a group of desks and then team members receive a notification to claim a desk from within the app for the days they will be in the office.

There is a video of the new mobile interface here:

Floorsense Team UI

Team leaders are setup by an Admin, and once setup, the team leader is able to block book desks for anyone in their team to claim. The interface for the team leader to block book desks is (for the moment) just the end user web portal (ie https://my.floorsense.com.au). The team leader will also be able to push notifications to team members about a team booking.

Floorsense App v7.0 will be released on 19 December to coincide with the updated my.smartalock.com / my.floorsense.com.au portal updates. Users will also require their master controller be updated to support the creation of teams. For those customers on a valid support contract and under change control protocols, please contact support@smartalock.com to schedule an upgrade to your instance. For those customers on Autoupdate, this update will occur during weekend of 17-18 December 2023.

update: New Hardware and Features: Floorsight v4, Meeting Room Occupant Counting, Timezone Support for Floorplans

The newest release of the Floorsense/Smartalock Admin Portal includes a host of new features, hardware support and bug fixes. This version will be available from 1 September 2023. As always customers with valid support coverage will receive this update at no charge.

Floorsight Puck v4 Support

We're proud to announce the immediate availability of our newest floorsight puck - Floorsight v4.

Building on the success of v3, the newest puck adds additional software and hardware features, provides a more robust design and fully supports our future handset product enhancement coming later this year. To learn more about Puck v4 check out our website or download the brochure here

Floorsight Puck v4 requires Master controller software version 4100 or later.

Advanced Occupancy Sensor Support

We also have now released support for a new occupancy sensor which dynamically counts the number of people inside a meeting room or breakout space. The occupancy sensor uses AI technology to count the number of people by looking for generic heads + 2 shoulders within a view, and then transmits the value to our floorplan dashboard. All processing is done inside the sensor and no video is used, exported or stored. Rooms or break out areas using the Advanced occupancy sensor will display a total count vs capacity count for the space. Use this to accurately gauge the number of occupants actually inside meeting rooms for future sizing, and compare against the Outlook calendar participant list to understand the ratio of in-room vs remote participants for office meetings. More details on our website or download the brochure here.

Timezone Support for Floorplans

Customers with multiple buildings on a single master controller where some buildings are in different timezones now have the ability to set a timezone against a floorplan to override the master controller timezone and/or the timezone of the users browser or phone is currently in. The timezone value will be used in a limited number of cases as per the table below.

User ActivityTimezone used
Users browser / App in same timezone as Floor and user specifying a start time (ie "9am")Browser time zone used for the start time
Users browser / App in same timezone as Floor and user selecting "All Day"Day start time for the booked desk group learnt from Master controller (ie 7am) and converted to browser time zone
Users browser / App in different timezone as Floor and user specifying a start time (ie "9am")If set, the new Floorplan timezone is used for the time start (ie 9am in the floorplan timezone), otherwise the browser timezone is used
Users browser / App in different timezone as Floor and user selecting "All Day"Day start time for the booked desk group learnt from Master controller (ie 7am) and converted to the floorplan timezone if set, otherwise the browser timezone is used

This feature will also allow the user to override the selected timezone from the above table.

The feature is typically made for example when a user who is physically in Sydney is booking a desk for all day use in a Brisbane office. Previously the start time of 7am (being the start of day time for all day bookings) would be calculated in the Sydney timezone where the user physically is at the time of booking and then applied to a Brisbane desk booking. This new feature allows for the 7am start time to be based from the Brisbane timezone regardless where the user is creating the booking from.

This feature is added to version 4100 of master controller and is available now. Updates to supported customer systems will follow customers elected preference of either automatic or by change request. For customers on support contracts and with elected updates please email support@smartalock.com to request a change window for software update.

feature: Admin Portal 3800, 6.4.x App Release

The newest release of the Floorsense/Smartalock Admin Portal includes a host of new features and bug fixes. This version will be available from 18 May 2023. As always customers with valid support coverage will receive this update at no charge.

New Features:

Notification Engine v2.0

Additional Support for sending either email or push notifications to users from the Admin portal. This feature is useful as creates dynamic groups of users to push a message to - such as who is in the office right now or who is booked to come in tomorrow etc. Messages can be scheduled to send immediately or in the future.

Notifications are created and sent under the User tab - there is a training video on this new feature at: https://www.notion.so/floorsen...

Support for DC Battery Desks - Battery Level Reporting

Floorsight latest Puck v4 supports monitoring of power levels from El-Safe's new DC power based workstation system. This allows for operators of these desks to see the state of charge of all battery powered desks across a floor and drill down into which require charging

iOS / Android v6.4 Release

2 minor changes in the Floorsense App this month in preparation for larger changes coming soon

1) Move of the user search button to the top bar - this frees up space for upcoming carpark features

2) Improved the ability to book desks in a call centre style environment where there are multiple shifts and 2-3 users of the same desk on the same 24 hour period - for example this booking finishes at 17:36 today but users can now create a booking after this time from within the iOS/Android App.

This release has gone to Apple for review and will roll out to users who have auto-update enabled from 11 May 2023

Virtual Lockers v1.2

We have added to Virtual lockers feature this month. Virtual lockers allows for the complete flexibility of creating locker banks that span or partition multiple physical locker banks, regardless of the type of Smartalock controller in use. For example a customer with 1 full controller and 5 mini controllers over 3 physical locker banks has typically been required to operate these as 1 single locker bank. With virtual lockers that can now operate as 3 banks, 6 banks or any mixture based on type, size or physical location.

A sneak peek at upcoming "Advanced Analytics"

For customers on paid support we will be shortly rolling out our new analytics platform which provides

Deployment:

If your your company is enrolled for auto-updates the upgrade will occur after hours during period 18-25 May.

feature: Admin Portal 3700 UI, New Features and Fixes

The newest release of the Floorsense/Smartalock Admin Portal includes a host of new features and bug fixes. This version will be available from 22 December 2022. As always customers with valid support coverage will receive this update at no charge.

New Features:

Zone based auto-checkin v1.0

Support for auto-checkin to a booked desk (or carpark) by proximity to a Floorsense beacon. The floorsense beacon is a standalone long-life bluetooth based beacon placed near a collection of desks or carparks (AKA a zone). As the user nears the beacon with a booking within a zone of desks they are automatically checked in to their booked desk. This allows for floorsight virtual (QR code) customers to gain higher end user compliance because the user no longer needs to scan a QR code to confirm their pre-booked space. In the future we will expand this feature to allow for zone based booking where a user no longer needs to select a specific space within a zone as the system will track capacity within a zone and use AI to deduce where the current zone users are actually sitting.

Zones can be configured under Settings->Floorplan Mapper

Notification Engine v1.0

Support for sending either email or push notifications to users from the Admin portal. This feature is useful as creates dynamic groups of users to push a message to - such as who is in the office right now or who is booked to come in tomorrow etc. Messages can be scheduled to send immediately or in the future.

Notifications are created and sent under the User tab

Support for FaceSec facial recognition door release for Smartalock

Smartalock now supports facial recognition use for authenticating users to open locker doors. We have now a native integration with "FaceSec" who is a leading vendor of facial recognition terminals and cloud software. Ask your account manager if this is of interest.

One-Time Terms and Conditions

This feature allows for Terms and Conditions or other 1-time notifications to be pushed to users on the first use of either the floorsense App or the my.floorsense.com.au end user web portal. Typical application would be to capture end users agreeing to a privacy policy or reminding them to do the end user training modules. The messages are configured under the Settings->Voucher Template Editor

Virtual Lockers v1.0

In preparation for our Kiosk v4 release we are exposing the virtual locker feature as beta. While Smartalock has always had a locker group feature which spans multiple locker banks, typically the touchscreen kiosk is tied to managing all the lockers on a single or multiple locker banks. With virtual locker banks a touch screen kiosk can be programmed to see a subset of lockers which may span multiple locker banks. The main use for this feature is to allow for mail room style touch screens where a courier may have access to a subset of lockers via 1 screen outside of tenant security, whereas internal users have access to the remaining lockers via a different touchscreen.

Deployment:

If your your company is enrolled for auto-updates the upgrade will occur after hours during period 22-27 December.

If your company is not enrolled for auto-updates or otherwise requires internal change management prior to upgrades then please contact support@smartalock.com to schedule your system upgrade to this latest version
